Editorial Project Manager for the Italian editorial department


SH's editorial department in Italy is in charge of the coordination of medical writing and educational projects with doctors and other healthcare professionals sponsored by the pharmaceutical industry. With a team of 5 Editorial Project Managers, we produce materials of all types and formats (print and online) and manage both face-to-face and virtual meetings. In our day-to-day work, we work with the rest of the SH teams to provide the best service to our clients, always maintaining high quality standards in our content. We are a dynamic team that adapts to all circumstances and enjoys every challenge.

We’re looking for an Editorial Project Manager to be based in our Italian office (Milan) on a full time, 40 hours-per-week basis.

This role offers the chance to work on large medical communications and publications accounts within a supportive, team-focused environment. You will be engaging with a variety of internal and external stakeholders from Industry, Healthcare and Academia. Develops, manages and oversees editorial content for SH Italy, assuring quality of delivery within the regulatory environment and across all content types:

  • Develops and manages Italian and English-language editorial content and programs to meet quality requirements and production deadlines, as assigned by Editorial Lead:
    • Ensures internal quality standards and processes are met, including technical accuracy, appropriate presentation and messaging of data/information, layout optimization, and language correctness
    • Liaises directly with authors/KOLs, speakers, referees, journal editors, internal and external medical writers and other content suppliers regarding commissioning, quality, style, scientific validity and relevance of content, and provides timely, consistent and constructive feedback to SH internal teams
    • Evaluates and incorporates relevant external review comments where required
  • In conjunction with Operations and commercial teams, liaises with clients to deliver all projects, and ensure that client expectations are being met
  • Provides main point of contact regarding editorial content for SH Italy clients
  • Contributes to process improvements for creation and maintenance of editorial projects, including risk reduction on projects and, in conjunction with the Editorial Lead, take remedial action, when required
  • Adheres to SH operating procedures, quality assurance processes, and industry regulatory standards


Supports the planning of editorial content for clients, to the highest standards of quality and delivery:


  • Provides scientific expertise to support the SH Italy sales team in developing new opportunities
  • In conjunction with Editorial Lead and SH Italy Operations/Production team, helps to plan new projects in response to client needs
  • Supports the SH Italy teams with preparation of editorial content plans and pricing estimates for proposals and pitches to clients, ensuring costs and profitability are in line with SH requirements
  • Helps to prepare and participate in pitch/proposal meetings for clients, as required


Other responsibilities:


  • Records and monitors actual time spent on projects against budgeted time, including completion of timesheets in an accurate and timely manner per SH Italy business requirements
  • Maintains strong awareness of developments in relevant therapeutic areas and Springer Healthcare products and services
  • Fosters and maintains relationships and collaboration with Authors/KOLs, Speakers and local professional groups
  • Participates in, assists with and implements activities at events such as medical conferences, focus groups, expert meetings, professional training programs, etc.


Qualifications, experience and skills:


  • Medically or scientifically qualified, preferably to postgraduate level
  • Experience in editorial project management, preferably within the medical communications, scientific publishing or pharmaceutical industries
  • Fluent English and Italian, written and verbal, and at ‘scientific’ level
  • Ability to manage all types of projects across all delivery types, including digital and social media programmes
  • Effective collaborator, with a full understanding of the importance of teamwork
  • Proactive decision maker and problem solver
