OVERVIEW

 

We are a small busy team who deliver projects varying in size and scope across several therapy areas. We submit proposals for grants to develop our own programs for healthcare professionals around the world. As independent medical education providers our funders are required to take a hands-off approach. Working in a collaborative team environment we continually strive to increase our reach and offer novel solutions to optimise learning experience and improve patient outcomes.

The Account Manager is responsible for setting up, managing, and delivering Springer Healthcare independent medical education projects (live events and digital) within budget and on schedule, and reporting on project outcomes.

 


RESPONSIBILITIES

 

  • Project Management

Manage a portfolio of assigned Independent Medical Education projects, in accordance with business objectives and company strategy with particular attention to the following requirements:

 

  • Referring to the proposal establish the exact requirements of the project, including timescales, deliverables, budget and outcomes and set up the project’s framework using PM tools (Monday.com is our in-house software).
  • At the point it is transferred to you from BD team, identify, recruit and brief external and internal stakeholders and contributors at start of project, including setting up meetings, briefing, and drawing up contracts and SOWs, where appropriate.
  • Drive the day-to-day project management of all assigned live projects and be the key contact during the project’s lifecycle.
  • Maintain a strong focus on relationship management, with various partners, endorsement bodies, faculty, vendors, and internal colleagues.
  • Organize and run offsite Independent Medical Education conferences, symposia, and filming, including, but not limited to, sourcing venues, flight and accommodation logistics for staff and faculty, 3rd-party vendor engagement and liaison.
  • Comply with and input into new and existing SOPs and workflows and share best practice with the team.
  • Ensure all project documentation is filed appropriately in the correct place and accessible to the team.
  • Liaise with Springer Healthcare Marketing team to ensure timely development and delivery of marketing campaigns to raise awareness about your projects. Keep a record of current user numbers and trends to discuss in the weekly meetings. Assess and analyse the success of different marketing channels and show proficiency with SM platforms and driving learners to our education.
  • In partnership with external developers ensure that the website hosting platform includes capabilities to export metrics and user behaviour, xAPI and GA4 for reporting purposes. Complete a technical briefing exchange using internal mechanisms and processes, supported by our in-house technical support team where necessary.
  • Undertake competitor analysis and research for new products and services to build on our portfolio and maximise efficiencies and raise brand profile, specifically UX and UI, the use of AI, new apps and business solutions.
  • Competence in learning new content management and authoring tools to create in-house LMS programs.

 

  • Financial management
  • Coordinate timely payment of honoraria and invoices, and record all direct costs in a project budgeting spreadsheet, and running project variance reports to ensure accurate budget management.
  • Thorough and accurate financial management of your projects, including budget tracking and invoice management; variance reporting throughout project cycle and financial reconciliation, upon project completion.  for our internal financial system and funder portal.
  • Compile detailed program costings for new business development opportunities, as requested by the Business Development Director. Identify and obtain quotes from technological vendors when new innovative solutions are sought. Provide support during business development team meetings.
  • In our finance system record time spent on a project in order to measure productivity against the budgeted hours.
  • Ensure all licensing subscriptions and accounts are up to date and where appropriate be the point-of-service contact.

 

  • Editorial support
  • With the support of the Editorial Team meet consistently high standards for scientific and editorial quality in all communications and copy writing, including website, marketing, external communications, and briefing and contractual documents.
  • Understand the nuances of communication approaches with different stakeholders and audiences.
  • Manage Faculty logistics, contracts, meeting dates, payment of any fees or honoraria, and support the editorial team in faculty relations.
  • Ensure that any content reproduction complies with necessary permissions, copyright and privacy laws, referring to the established policies and procedures.
  • Manage the relationship with translators and ensure a robust timetable and process is established to deliver materials in line with the project launch dates
  • For all projects create regular reports as directed by the funder, to include user participation, evaluations, outcomes and insights, and feedback any particular observations (positive and negative) to direct future development by sharing with the team.

 

  • Other general duties
  • International travel, as required, to Europe and ROW
  • Attendance at group meetings, as required
  • Any other duties as requested by the Senior Project Team

REQUIRED EXPERIENCE:

  • Project management and delivery experience
  • Scheduling and managing third party vendors
  • Effective and accurate editing and writing skills
  • Experience within STM and/or Medical Communications industries

 

DESIRABLE EXPERIENCE:

  • Event coordination and onsite management
  • Digital content management
  • Experience of contributing to marketing awareness campaigns for educational programs
