Job Title: Licensing Coordinator - Fixed-term Contract

Location(s): Dordrecht – Hybrid Working Model


About the Role:


The role reviews License Agreements, with a focus on Standard License Agreements for Institutional Sales. We proactively check, approve and process these to ensure that items are legally compliant, audit proof and minimize company risk. We work closely with the account support teams in the EMEA region.


The Licensing Coordinator is a member of the Licensing Control group, Springer Nature’s contract management department, which fulfils a central role within the company and ensures compliance of license agreements with national legislation commercial practices and internal standards and policies. The Licensing Coordinator supports the contract execution process for the EMEA region, with a focus on promptly reviewing and processing license agreements and other documents and forms against company standards (legal and commercial). The team consist of 8 people in total and the Licensing Coordinator reports to the Manager Licensing and Control.


Role Responsibilities:

• Review and revision of draft license agreements and against internal guidelines and policies (e.g. standard license agreement template, commercial policies, general accuracy of draft with respect to content listings, contract values, calculation of discounts etc.). (Legal Department will provide standard fall-back options and additional support if needed).

• The focus is on the standard and lower values deals but if needed the Licensing Coordinator can support with Tenders, non-standard deals, administrative and internal tasks.

• Check, approve and process all agreements (following templates and internal guidelines)

• Ensure compliance of license agreements with internal standards and policies

• Liaising with several internal departments (such as Institutional Sales Legal, Sales, Corporate Legal, Compliance and Product Management) to collect required documentation and approvals to participate in a tender.

• Close cooperation with the Senior Licensing Coordinators and Contract Specialist.

• Prompt and accurate execution of the Licensing Control administrative activities.

• Liaising between Sales, Account Support Executive and Legal to negotiate changes required in license agreements.

• Raise issues as appropriate, and identify areas for improvement and identify solutions by liaising and aligning with internal stakeholders, such as the SOCoE , Group Tax, Group Credit Control, Online Service etc.

• Establish and build strong working relationships with internal Springer Nature departments (SAP CRM, Authorized Representatives etc.) and Sales Operations team members to ensure the successful creation and signing of contracts.

• Accomplish completeness of files to meet and exceed audit requirements.

• Prepare periodic reports for management, as necessary or requested, to track strategic goal accomplishment.


Experience, Skills & Qualifications:

• Strong communication skills.

• Proven ability to understand and effectively communicate with several internal stakeholders.

• Experience indicating an understanding of or ability to quickly acquire in-depth knowledge of multiple product lines and business models.

• Ability to systematically analyse Licences.

• Experience in applying organizational standards when reviewing contracts to comply with internal policies.

• Ability to convey complex information in a way that others can readily follow.

• Good and practical feel for figures.

• Understands Legal wording.

• Ability to work in a complex environment where alignment with various stakeholders may be required, however independently address, and solve issues within the scope of the position.

• Administration skills with respect to contracts and contract management.

• Proactive attitude and eager to learn.

• Detail oriented and accurate.

• Reliable and pro-active.

• Analytical with a results-oriented working style.

• Team player but also a high degree of independence.

• HBO work and thinking level.

• Fluent in English (both written and oral)

• Good computer skills, Proficiency with MS-Office-Suite, particularly Word and Excel

• Understanding of sales data operations in SAP-CRM

• Willingness to participate in (LEAP) trainings in order stay up to date on tender processes in a constantly changing environment. #LI-EP1
