We are currently looking for a Media Project Coordinator (m/f/d) to work closely with Publishing, Publishing Services, and Digital Operations from the initial concept stages, advising on, researching, and providing relevant assets to help create a fully defined scope and brand. The Media Project Coordinator will also provide vision and direction for the research and creation of the highest quality assets, including commissioned photography, animations, and videos.
Key tasks:
Freelance and supplier management
- Select, engage, brief and proactively manage Media suppliers, as required, and according to the needs of the project (including reviews of work for quality control purposes)
- Complete all necessary documentation associated with contracting suppliers, including two-way feedback on the quality of work
- Quality assures all work commissioned, providing clear and timely feedback, and escalate issues to Design & Media management and project team as appropriate
- Develop clear knowledge of current supplier capabilities and proactively suggest where training and/or additional expertise is required in order to plug gaps. Identify and discuss gaps in expertise with your line manager, suggesting where we may need to investigate potential new sources of media production
Project work
- Work on an agreed number of projects, ensuring that all materials are of the appropriate quality.
- Understand the Investment Approval (IA) process, prepare and manage budgets for all projects that you work on, ensuring that the most accurate costs possible are submitted for IA
- Ensure that schedules are realistic and achievable, alerting the Senior Media Producer of any schedule issues in a timely manner.
- Make sure that relevant briefs are provided and completed in order to provide clarity and focus, plus provide continued support and advice for achieving the highest quality while asserting the importance of adhering to agreed budgets, schedules, and ways of working
- Drive the development and creation of the media concept, working with the project team to finalize the concept and achieve a fully-defined blueprint, in readiness for investment approval and prior to the creation of authoring templates
- Champion the re-use of assets from other projects wherever possible in order to make cost and schedule savings and promote efficiency
- Maintain clear and regular communication with the project team throughout, feeding into required project reports and updates, and highlighting risks as soon as possible. Provide continued support and advice with regard to the concept and production stages, proactively and enthusiastically generating ideas
- Follow and champion agreed best practices with regard to the workflow at all times. Provide support and advice to project teams to ensure that key milestones are maintained and that the production process is slick and efficient (e.g. with regard to designated proofing stages). Raise issues with the Content Delivery management team as necessary
- Ensure that all assets produced are within brand guidelines and are consistent in quality, through the capture of all requirements; clear, comprehensive and consistent briefing to vendors; and stringent quality assurance throughout
Internal systems and processes
- Share knowledge and experience with the wider Publishing Services team
- Contribute to the development strategy for company systems and products from a Publishing Services perspective on an ongoing basis
- Ensure the Publishing Services data on company systems is accurate and up-to-date and all required documents are uploaded in a timely fashion
- Ensure that, where available, best practice guidelines are followed and make suggestions for improvement, where necessary
Market awareness and training
- Understand Macmillan Education's publishing strategy and the company’s business goals
- Keep up to date on ELT and general publishing issues, particularly ELT/EFL in an international context
- To work with the Design & Media team on developing/delivering training and support
- Keep abreast of competitor activity with a view to their potential impact on Macmillan Education’s products, as well as current trends in educational design in order to make informed decisions and advise accordingly
Requirements:
Qualifications:
- Educated to a degree or equivalent level, preferably in media, photography, film or animation
Skills/Knowledge:
- Strong and clear communication and negotiation skills, both written and oral
- Excellent organizational skills and an ability to prioritize based on the needs of the business
- Knowledge of digital and conventional printing and publishing processes
- Able to manage budgets and schedules
- Proven commercial focus in terms of cost management
- Able to solve problems independently and deliver results in an ever-changing environment
- Flexible and adaptable, able to react quickly to changing requirements and new challenges
- A commitment to lifelong learning evidenced by a willingness to continually develop skills and knowledge
- The ability to manage a varied and demanding workload
- The ability to work on your own and as part of a team
- A positive attitude and commitment to the aims of the department
- Knowledge of ELT markets, publishing and/or teaching, competitor products
- Video production and editing skills
- Rights and Permissions knowledge in acquiring 3rd party content
- Supplier management: including commissioning, negotiation of rates and schedule, quality assurance, and day-to-day management
- Proficient level of written and spoken English
- Working knowledge of Polish (Warsaw office)
Experience:
- Experience in commissioning photo, animation, and motion shoots
- Experience with Rights and Permissions
- Experience in managing budgets and schedules
- Experience using Microsoft Office and Adobe Creative Cloud
- Experience in casting, location research, and filming
- Experience in working with children, either voluntary or on a professional basis would be an advantage
- Experience in managing multiple components simultaneously in a publishing environment
- Experience in working with company systems and data and a willingness to learn and fully engage with all such systems
- Experience in working across multiple regions in cross-functional project teams
- A genuine interest in working with publishing/production/media suppliers, both on- and off-shore
- A genuine interest in ELT/language learning and more general education
