Seeking a logistics coordinator who will support logistics operations throughout the order fulfillment and transportation cycle; make sure established standards and deadlines for delivery are met incorporating automated systems and standardized workflows, including delivery of journals and books to our customers, events, trade shows conferences and special shipments; coordinate and track shipments across multiple channels; work closely with printers, mail and transportation vendors, customer service reps, marketing teams and sales reps.


The successful applicant will have outstanding organizational skills; ability to manage multiple tasks and prioritize time sensitive situations; excellent problem solving skills; attention to details; effective communication skills, including writing, speaking and interpersonal communication.


This role is based in our Jersey City office on a hybrid working model.


Job Responsibilities:

  • Coordinate logistics for the conferences, exhibits, and special shipments
    • Work with marketing operations, editorial and sales to ensure orders for books, journals and supplies are ordered correctly and check for accuracy
    • Coordinate the timely shipments to and from our consolidator at the distribution center
    • Make corrections and adjustments, and make decisions when to ship direct as necessary.
    • Monitor the supply inventory, reordering and adjusting stock as necessary
    • Collect and report tracking information and share with stakeholders
  • Set print orders
    • Collect and verify dispatch information from production, marketing, sales and other parts of the business as required
    • Ensure material issue settings are correct prior to initial dispatch file generation and check for accuracy
    • Verify initial dispatch files after order generation
    • Provide mailing label split instructions to printers and mailers
    • Monitor receipt of POA and ASN confirmations from printers for both initial and subsequent dispatches
  • Help customer service provide superior service to our customers by researching delivery problems, checking inventory, troubleshooting problems, and utilize critical thinking to determine the best course of action
  • Answer queries from various departments within the business and Back up logistics team members as needed
  • Additional duties as needed


Experience, education, skills and qualifications required:

  • Knowledge of SAP MRP systems preferred, but not required
  • Knowledge of Microsoft Excel and Word, ERP and computerized fulfillment systems
  • Knowledge of customer services ticketing systems such as Freshdesk is helpful
  • College graduate or equivalent experience
  • Knowledge of journal/book publishing industry desirable but not required
  • 2 – 3 years' experience supply chain logistics and/or import/export required
